1. Assist the MD in reviewing Business Environment and reviewing strategies around it.
2. Assist the MD by conducting various researches and support in daily operations.
3. Maintain an efficient flow of information between all levels of the association including internal and external contacts on a wide spectrum of plans and priorities.
4. Processes all incoming correspondence received in the office of the MD, prioritizing and determining its disposition. Directs mail to appropriate internal staff with instructions and/or suggestions for preparation of a reply. Determines which correspondence can be handled by self and takes initiative in drafting responses for the MDs approval/ signature based on knowledge of his activities, interests, priorities, and issues.
5. Reviews, proofreads, and formats all correspondence prepared for the MDs approval /signature to ensure accuracy and completeness, as well as consistency with the associations policy standards and exercises good judgment in following up with staff to ensure deadlines are met on documents requiring the MDs approval/ signature.
6. Handles confidential and sensitive information with poise, tact, and diplomacy.
7. Produces meeting summaries and maintains and tracks of MDs priority lists of projects and other board responsibilities.
8. Frequently compose and finalize complex correspondence, legal documents, meeting minutes, reports and other format documents, using experience and judgment to determine what should be included in each document.
9. Provide administrative support to Board and committee meetings. Perform office duties in support of the MD with general guidance in terms of overall objectives.
10. Manage department records and archiving, including corporate governance and policy and procedure documents.
11. Prioritize the success of the team through effective utilization of individual skills and frequent, substantive discussions on work plans, strategic initiatives, skill development and performance.
12. Serves as a liaison with other departments, affiliate organizations, government offices and other agencies and senior level staff.
13. Works independently and within a team on special and ongoing projects when necessary.
14. Prepares annual business plan document (AOP) and quarterly business plan reports. Assists with development of departmental budget, Assist with fiscal year budget preparations and forecast, Provide back up for other specific tasks as needed.
15. Participate in ongoing training and education.
