executive – Operations would be responsible for planning and organising events, client co-ordination before, during and training modules, taking care of accommodation for stay and travel related to programs, taking care of the administration part related to office maintenance, pantry, pest control, handling employee engagement activities, managing stock and stationary, conducting acknowledgement/welcome calls and reminder calls to clients and any other management assigned task. Responsibilities: Identifying venues for Trainings/ events and conducting technical evaluation before empanelment, coordinating for rate card, contracts Keep a check on training calendar, make all necessary bookings as per dates Taking care of Hotel bookings, Tie ups & coordination related to events & stay Arrange stay and pickup-drop for trainers/ staff during branch visits Handling arrangements as per checklist for modules/ events, outward and inward gatepass Conducting acknowledgement and welcome calls to client Coordinating with clients related to the training module via calls, sms & mail on 2nd of Module month, 7,3,and 1 days prior to the event. Updating clients immediately regarding change in date or venue of the training module/ event via calls, sms & mail Coordinating with Sales, HR, Finance, Purchase, Travel Desk for respective coordination Taking care of administration part related to office maintenance, pantry, pest control, repairs, guest house maintenance, etc Handling employee engagement activities like Birthday, Events and Festival celebrations Taking care of stock and stationary and update in MIS periodically. Ensuring all the purchase related to office stationary and any other as assigned with on time, vendor empanelment & coordination for the same Ensuring procurement, availability and distribution of consumables like workbooks, activity material and reusables like standees, mic, projector, mats, their upkeep, functioning and maintenance.
