Manage the Reception
Attend the Company’s guests, visitors and assist them with their queries.
Answer and screen all incoming telephone calls in professional and timely manner.
Ensure immediate response and transfer of incoming and outgoing calls to the concerned department.
Maintaining and tracking all mails both incoming and outgoing and forwarded to the concerned department.
Maintaining the decorum at the reception area
Coordinating with Housekeeping & Pantry team and instruct them as per the requirement.
Responsible for tidiness and cleanliness of reception.
Coordinating with HR department for incoming candidates for interview by providing them the Job application form.
Keep a check on company brochures, newspaper and latest magazine should be available at reception.
Perform any other job related duties as and when required
Maintain courier records
Handle the courier system & maintain incoming courier /post register
Receive and send fax as and when required.
Maintain Records
Maintaining new joiner sheet, referencing sheet, get in touch sheet, employee’s data list, review timing sheet, lunch timing register, medical register, task sheet etc.
Handling complaint register for the office maintenance and pass the message to the concerned department.
Prepare the month end report and submit to HOD on last day of every month.
Updating Extension no’s of all the employees on a regular basis.
Administration work
File index numbers are generated when asked by the concerned departments
Miscellaneous work
Maintains of medical box and record of consumption of medicines on daily basis.
Check on Fire extinguisher renewal and validity.
