Telecommunication:
• To attend incoming & outgoing the calls from the main board and transfer the line to the concern person.
• To make the calls and transfer the line to internal staff as per their requirement of staff.
Courier & Parcel
• To receive the incoming material (Documents, parcel etc.)
• Handle all the incoming courier
• To maintain proper record of inward in register
• To handover the incoming items to respective department or person.
• To handle all dispatches of parcel, documents for the customers, suppliers and to coordinate with dispatch department for the same
• To maintain outward register for outgoing postal & couriers, materials etc.
• To make arrangement of courier as per the requirement.
• To keep the track of the courier.
• To check the bills of courier.
• To order for required stationery material as per instruction.
• To maintain and monitor the stock of stationary material.
• To check and verify the bills of stationary (From Jumbo Xerox and Selection Center)
• To maintain proper records in MS Excel on PC.
• To prepare necessary documentation for dispatches like waybill, road permits, preparing challan etc.)
• To communicate to the supplier or customer regarding any query.
• Follow up with customers for the payment, pending C-Forms and to update the files in excels for same
• To maintain and communicate the status of repair work order.
• To communicate with suppliers regarding the payment by telephone or email.
• To keep the record of payments made by cheques in outward register/ cheque register.
• To maintain Export details in MS Excel.
• To maintain visit register.
• Maintain / update challan file – in soft copy and hard copy.
• To communicate with the service provider like Chair Repair/ AC AMCs/ Electrician/ carpenter etc.
• Other general administration work related to front desk.
• Other work as assigned by Departmental Head & Management
